JOB DUTIES/RESPONSIBILITIES

 

Early Education Center Office Managers perform, and are responsible for, the clerical activities of an Early Education Center.

 

Typical duties may include, but are not limited to:

 

- Maintaining financial records related to fee computation and family billing and collects fees, distributing receipts, posting to records, balancing family accounts, and preparing and making bank deposits.

 

- Setting-up and maintaining records, checking or completing forms, making calculations, and preparing regular and special reports on such matters as attendance, eligibility, personnel organization, budgeting, accidents, special programs, time reporting, and requisitions and purchase orders for supplies and equipment.

 

- Arranging appointments for an Early Education Center site administrator, maintaining an appointment calendar, receiving visitors, screening telephone calls and mail, and composing communications from general instructions or rough notes.

 

- Answering or referring inquiries, contacting administrative offices and public service agencies, explaining District and Division policies, and coordinating and providing approved information to parents, students, center personnel, and the public over the telephone and in person.

 

- Advising and questioning parents regarding children's eligibility, attendance, and schedules and reviewing enrollment applications for completeness and accuracy.

MINIMUM REQUIREMENTS

 

The following are requirements for candidates to qualify for the role:

 

PROMOTIONAL STATUS IS REQUIRED. You must be a current or retired employee of LAUSD with 130 paid days in regular status in the Classified Service or permanent status in the Certificated Service or have been laid-off within the past 39 months from a regular, permanent LAUSD position in which you passed probation. Laid-off employees' eligibility as a promotional candidate expires at the end of their 39 month period; as such, laid-off employees applying for promotional career opportunities may not be eligible to complete the assessment process or may be removed from the employment eligibility list once their eligibility as a promotional candidate expires.

 

MINIMUM EDUCATION REQUIREMENT: Graduation from high school or evidence of equivalent educational proficiency.

 

MINIMUM EXPERIENCE REQUIREMENT: Two years of experience in office clerical work that included using a computer keyboard and record keeping.

 

SPECIAL NOTE: As of September 1, 2016 all persons being employed at an early education center will be required to show proof of the following immunizations: (1) influenza (flu shot), (2) pertussis (whooping cough, may appear on immunization records as DTap or Tdap), and (3) measles (MMR). Proof of vaccinations will be required at the time of appointment.

DESIRABLE QUALIFICATIONS

 

An IDEAL candidate would possess:

 

-A strong understanding of school office policies, procedures, and safety.

-A comprehensive understanding of school-based time reporting policies and procedures, and how to utilize the BTS system for time reporting purposes.

-A strong understanding of District-specific software such as LRP Shopping Cart and MiSIS

-An understanding of school-based budgeting and accounting procedures (Continuation School Office Manager only)

-Resourcefulness, strong analysis and problem-solving skills, and the ability to make sound decisions.

-Flexibility and a proven ability to multi-task effectively under pressure and frequent interruptions.

-Solid organizational skills and exceptional customer service skills.

-Effective verbal and written communication skills

The selection process TENTATIVELY consists of a computerized multiple-choice assessment and a technical interview.

Selection and promotion are based on a competitive employment assessment process.
