JOB DUTIES/RESPONSIBILITIES

A Continuation School Office Manager performs and is responsible for all of the clerical functions of a Continuation High School office.

 

A Continuation School Office Manager:

 

  • Obtains and imparts information in personal and telephone contacts relative to student enrollment and attendance, school activities, and school and District policies and regulations, and obtains and releases confidential student information at the direction of certificated personnel.
  • Updates and maintains student information in the Student Information System (SIS).
  • Performs secretarial duties for a Continuation High School Principal in maintaining a calendar, arranging meetings, receiving visitors, screening mail, composing letters from general instructions or rough notes, and obtaining or giving out information on behalf of the Principal.
  • Establishes and maintains various files and records, including student attendance and cumulative records, health records, work permits, financial accounts, mandated public notices, supplies and equipment inventories, and correspondence.
  • Records financial transactions regarding instructional material accounts and imprest and student body funds and maintains account balances.
  • Liaises with Food Services Managers to update student meal rosters and ensure the adequacy of the food supply.
  • Provides work direction to part-time student helpers and lower-level classified personnel as assigned.

MINIMUM REQUIREMENTS

PROMOTIONAL STATUS IS REQUIRED

You must be a current or retired employee of LAUSD with 130 paid days in regular status in the Classified Service or permanent status in the Certificated Service or have been laid-off within the past 39 months from a regular, permanent LAUSD position in which you passed probation.

 

Laid-off employees' eligibility as a promotional candidate expires at the end of their 39 month period; as such, laid-off employees applying for promotional career opportunities man not be eligible to complete the assessment process or may be removed from the employment eligibility list once their eligibility as a promotional candidate expires.

 

EDUCATION

Graduation from high school or evidence of equivalent educational proficiency, preferably supplemented by courses in office management and human relations.

 

EXPERIENCE

Two years of clerical experience that included data input, data processing, and record-keeping duties of which one year was in a school office.

DESIRABLE QUALIFICATIONS

Ideal candidates for Continuation School Office Manager will possess the following:

 

  • The ability to operate a variety of office machines.

  • The ability organize files and keep accurate records.

  • Knowledge of office practices and procedures. 

  • Knowledge of Basic bookkeeping methods.

  • The ability to work effectively with employees, students, and the public. 

  • The ability to Understand and interpret rules, policies, and regulations.

  • Knowledge of District records, reports, and procedures relating to student attendance, employee time reporting, operation of Instructional Material Account, and other school office functions.

  • The ability to utilize the capabilities of a personal computer and various District specific software such as Business Tools for Schools (BTS) and School Information Systems (SIS).

EMPLOYMENT SELECTION PROCESS

The employment selection process for Continuation School Office Manager may consist of a multiple choice assessment, a writing project, a technical interview, and other test parts as needed. 

 

TESTING PROCESS

 

  • You will be invited to take these assessments online and testing will be conducted remotely and all applications will be required to submit a Candidate Confidentiality Form prior to testing. Failure to submit these forms before the given deadline will result in the withdrawal of your application from the selection process.

  • Your test scores from these assessments will be banked and used for final calculation.

  • You must receive PASSING SCORES on all TEST MODULES, for all the assessments, to remain in the selection process.

  • Candidates who receive a failing score on any test module will NOT be eligible to move forward in the selection process.

  • The technical interview may be worth 100% of a candidate's overall score and will be used to rank order candidates on the resulting eligibility list. The writing project will be evaluated in conjunction with your interview.

  • If you are successful on all the assessments and meet the minimum education and experience requirement, you will be added to the eligibility list provided you submit necessary documantation when requested during the recruitment process.

Selection and promotion are based on a competitive employment assessment process. Candidates who pass all parts of the assessment process are placed on a hiring (eligibility) list based on their assessment score.
