PROJECT

A Senior Secretary serves as secretary and provides work direction in one of the higher administrative offices.

JOB DUTIES/RESPONSIBILITIES

A Senior Secretary provides secretarial services for an administrator, provides work direction, and is responsible for the clerical functions in one of the higher administrative offices.

 

Typical duties for this position may include:

  • Responsibility for the personnel and office procedures in an office which has administrative control of a major District function and has a large staff to carry out its functions.
  • Interpreting the policies and practices of the office and explaining related rules and regulations to employees and the public.
  • Composing, organizing, and editing material originating in the office.
  • Maintaining and overseeing the maintenance of the administrator calendar and arranging appointments and meetings.
  • Preparing complex and specialized correspondence and reports.
  • Preparing or assisting in the preparation of the annual branch or office budget and maintaining expenditure controls.
  • Keeping time records and preparing office payroll.
  • Planning work flow and providing work direction to subordinate clerical employees.
  • Preparing requisitions and maintaining records of supplies and equipment budgets.
  • Operating a variety of office machines, such as copiers, calculators, computer terminals, mobile devices, and office computers.

MINIMUM REQUIREMENTS

PROMOTIONAL STATUS IS REQUIRED

You must be a current or retired employee of LAUSD with 130 paid days in regular status in the Classified Service or permanent status in the Certificated Service or have been laid-off within the past 39 months from a regular, permanent LAUSD position in which you passed probation.

 

Laid-off employees' eligibility as a promotional candidate expires at the end of their 39 month period; as such, laid-off employees applying for promotional career opportunities man not be eligible to complete the assessment process or may be removed from the employment eligibility list once their eligibility as a promotional candidate expires.

 

EDUCATION

Graduation from high school or evidence of equivalent educational proficiency, preferably supplemented by courses in Microsoft Office and business English.

 

EXPERIENCE

Three years of experience in secretarial work. An Associate in Arts degree in Secretarial Science or designation as a Certified Professional Secretary (CPS) may be substituted for one year of the required experience.

 

SPECIAL

Appointments to positions in the School Police Department are subject to fingerprinting, a review of conviction record, and a background investigation.

DESIRABLE QUALIFICATIONS

We anticipate hiring a highly motivated individual who possess strong secretarial skills. The Ideal candidate will be proficient in using the MS Office products, especially Word, Excel, and Outlook. The ideal candidate will have extensive experience scheduling meetings, appointments, and maintaining a very busy calendar on behalf of an Administrator. Additionally, the Ideal Candidate will have a solid understanding of District rules, policies, organizations, and functions, demonstrate initiative and good judgment, have an awareness of current events within the local communities and LAUSD, and have proven success in establishing collaborative working relationships with both internal and external individuals and groups.

EMPLOYMENT SELECTION PROCESS

The assessment process for this position will tentatively consist of computerized performance assessments on Microsoft Excel, Outlook, and Word, followed by an interview which will be worth 100% of candidates' overall scores. Candidates who are successful on the computerized performance assessments on Microsoft Excel, Outlook, and Word, and meet the minimum requirements for this position, will be invited to participate in the Interview.

 

TESTING PROCESS

 

  • We anticipate receiving a number of well qualified applicants for this position; therefore, there will be a competitive process.
