DESIRABLE QUALIFICATIONS
The ideal candidate for this position demonstrates the ability to provide tactful and expert customer service, with the capacity to understand the needs of frustrated or vulnerable customers and effectively communicate information or solutions both verbally and in writing. They are skilled in researching, comprehending, interpreting, and synthesizing multiple policy documents, laws, regulations, and practices to determine appropriate direction. They also possess the curiosity and critical thinking skills needed to identify and evaluate competing information that may influence outcomes. Additionally, the ideal candidate thrives in a fast-paced environment, with strong prioritization skills and the ability to manage multiple, competing inquiries effectively.
MINIMUM REQUIREMENTS
EDUCATION:
Graduation from a recognized college or university, preferably including courses in school business management, budgeting, accounting, public administration, statistics, and report writing. Experience in collecting, analyzing, and reporting data related to budgetary, personnel, and accounting functions or in office management may be substituted for the required education on a year-for-year basis.
EXPERIENCE:
Experience in collecting, analyzing, and reporting data related to budgetary, personnel, and accounting functions or in office management is desirable.
SPECIAL:
A valid driver’s license to legally operate a motor vehicle in the State of California and the use of a motor vehicle, or the ability to utilize an alternative method of transportation.
SPECIAL PHYSICAL REQUIREMENTS:
- Manual dexterity as required to operate standard office machines and a computer.
- Visual acuity to read detailed documents.

JOB DUTIES/RESPONSIBILITIES
An Administrative Aide assists an administrator by carrying out complex, but well-defined projects and performing lowlevel administrative work in coordinating procedures, gathering and synthesizing information, composing and editing departmental and school publications, and providing work direction and participating in other activities.
The typical duties for this position include:
- Assisting in a wide variety of administrative matters by carrying out fairly well-defined projects in which methods and procedures may be altered to fit circumstances, such as making surveys and evaluations of materials, equipment, and clerical methods and workload.
- Assisting with project planning, coordination (staff, scheduling, etc.), implementation and evaluation for the school or program.
- Collecting, organizing and analyzing data and information as directed from various student information systems or related data systems and coordinating the dissemination of information to others in relation to assigned projects.
- Providing work direction and participating in composing, editing, and publishing departmental, division, and school publications in accordance with instructions and subject to review, including operational instructions, code lists, bulletins, correspondence, programs of performances, newsletters, and memorandums.
- Maintaining liaison with other departments, schools, and the community in order to carry out assignments.

EMPLOYMENT SELECTION PROCESS

The assessment process for this position is TENTATIVELY scheduled to include qualifying Computerized Online Skills Assessments (Microsoft 2016: Excel, Outlook, and Word) and a multiple-choice test. The multiple-choice test will account for 100% of the overall assessment score.
NOTE: For this recruitment ALL candidates will be invited to the FIRST test part, regardless of whether or not they meet the minimum qualifications. Candidates who do NOT meet the minimum qualifications will be disqualified, regardless of whether they passed the test.

Selection and promotion are based on a competitive employment assessment process. Candidates who pass all parts of the assessment process are placed on a hiring (eligibility) list based on their assessment score. Hiring departments may make job offers to candidates on the top three ranks of the hiring list. Eligibility typically lasts for 12 months. The hiring list resulting from this assessment process may be used to fill open positions in related job classifications.
